A ship window is the range of dates in which a brand must ship an order, and the cancel date is the day after which the retailer can cancel anything that hasn't shipped. Together they protect the store from receiving stock too late to sell at full price.

A store orders at market in September for January delivery. The ship window is 15 to 31 January 2027 and the cancel date is 7 February 2027, so goods that are ready on 9 February can be cancelled.
Brands set ship windows from their production calendar when they write the line sheet, and buyers can ask for a later window on their order. The brand then plans production and freight so each order ships inside its window.
When production runs late, the brand contacts the buyer before the cancel date to agree a new date or a discount. Get the extension in writing, because otherwise the original cancel date still applies.
